The successful candidates will provide administrative, data management, records management, and project support services related to skills development programmes, discretionary grants, learnerships, internships, bursaries, and workplace-based learning initiatives.

The role focuses on ensuring accurate data capture, maintaining learner records, supporting contract administration processes, and assisting with compliance and reporting requirements.

Key Responsibilities

Data Capturing and Information Management

  • Capture learner, employer, training provider, and project information accurately on SETA systems
  • Verify source documents before data capturing
  • Update and maintain learner and stakeholder records
  • Capture information relating to learnerships, internships, bursaries, and skills programmes
  • Perform data validation and quality checks
  • Report incomplete or inconsistent information
  • Support system uploads and learner tracking processes

Records and Document Management

  • Maintain electronic and manual filing systems
  • Archive and retrieve learner, project, and contract records
  • File contracts, addendums, and supporting documentation
  • Ensure confidentiality and security of information
  • Support audit and verification processes

Project and Contract Administration

  • Support discretionary grant projects and contracts
  • Assist with learner registrations, terminations, and certification processes
  • Verify project evidence against contractual obligations
  • Reconcile learner and project information
  • Support project payment preparation processes

Stakeholder Support

  • Liaise with learners, employers, and training providers
  • Respond to queries regarding grants and learner administration

Reporting and Compliance

  • Generate routine reports and statistics
  • Assist with monthly, quarterly, and annual reporting

Minimum Requirements

Qualifications

Applicants must possess:

  • National Diploma (NQF Level 6) in:
    • Information Management

    • Or a related qualification

Experience

  • Minimum of 1 year experience in:
